We work with the personal information of children. We take that seriously, and this policy is written to be read by parents rather than lawyers.
It explains what we collect, why, who sees it, how long we keep it, and what you can ask us to do. It is written to comply with the Protection of Personal Information Act 4 of 2013 (POPIA).
POPIA treats anyone under 18 as a child, and sets a higher bar for processing their information. Sections 34 and 35 require the consent of a competent person — normally a parent or legal guardian.
We only assess a learner where a parent or guardian has consented. Consent is given at two points: when an adult purchases the assessment, and again on the first screen of the questionnaire.
We do not sell, rent or share learners' information for marketing. Not to schools, not to universities, not to anyone.
| Information | Why we need it |
|---|---|
| Learner's name, grade and school | To identify the assessment and address the report |
| Parent or guardian's name, email and phone | To send the access code and the report, and to arrange the follow-up |
| Learner's email (optional) | Only if you choose to give it |
| Questionnaire answers | Personality, interests, abilities, work values, self-esteem inventory and career choices — the substance of the assessment |
| Previous school report (optional) | Context for the counsellor's written interpretation only. It does not affect scoring |
| Payment record | Reference, amount, date and status. We never receive or store card details |
| Job shadowing and follow-up notes | To complete the programme |
About the self-esteem section. Some questions ask how a learner feels about themselves, their family and school. These answers are read by the counsellor to help them write useful, sensitive feedback.
The counsellor's report describes what the answers mean. It does not reproduce the learner's individual answers to a parent. We think a young person should be able to answer honestly without every sentence being repeated back to their family.
There is one limit to this, and we would rather state it plainly: if something a learner tells us raises a serious concern about their safety, the counsellor may need to involve someone who can help. We will tell the learner if that happens.
We do not use learners' answers for advertising, and we do not profile learners for any purpose outside their own report.
We do not give learners' information to anyone else unless the law requires it, or unless there is a serious concern about a learner's safety.
Our records are held in Google Workspace and Google Drive, and our website runs on Netlify. These services store data on servers outside South Africa. POPIA permits this where the recipient is subject to comparable data-protection rules, which both providers are contractually committed to. If you would prefer your child's information not to leave South Africa, we are not currently able to offer that, and you should not proceed.
We keep different records for different periods, because they are not equally sensitive or equally useful:
| Record | Kept for | Why |
|---|---|---|
| Uploaded previous school report | 12 months from upload | Only needed while the counsellor writes the report. Deleted after that |
| Questionnaire answers and the feedback report | 3 years from assessment | Covers the follow-up meeting, job shadowing, and a re-read as subject choices approach |
| Parent contact details | 3 years, or until you ask us to remove them | So we can reach you about your child's assessment |
| Payment and accounting records | 7 years | Required of a company by the Companies Act and tax law |
After these periods we delete the records or remove anything that identifies the learner. You can ask us to delete your child's information sooner — see section 9.
No system is perfectly secure. If a breach ever affects your child's information, we will notify you and the Information Regulator as POPIA requires.
As the parent or guardian, you may:
Write to usamah.ganie@gmail.com. We will respond within a reasonable time, and we may need to confirm your identity first.
Please raise it with us first — most things are misunderstandings we can fix. If you are not satisfied, you may complain to:
This website does not use tracking or advertising cookies. The questionnaire and payment pages use only what is needed to keep your session working while you are on them.
If we change how we handle personal information we will update this page and change the date at the top. If a change is significant, we will tell parents of learners currently in the programme directly.
